This Applicant Privacy Notice explains how InnovaTech Partners collects, uses, stores, and protects personal information submitted by candidates through our careers workflow.
1. Scope
This notice applies to applicant data submitted through our careers form, resume uploads, recruiting communications, and internal candidate evaluation activities.
2. Categories of Applicant Data
- Contact details, including name, email address, and phone number.
- Professional information, including resume/CV content, work history, certifications, role interests, and LinkedIn profile details where provided.
- Submission metadata, including timestamp, IP address, user-agent details, and file upload attributes used for security, fraud prevention, and audit continuity.
- Recruiting communication records and interviewer notes generated during the evaluation process.
3. How Careers Submissions Are Processed
Careers form submissions are processed directly by our server-side application logic (PHP). Applicant data and attached resume files are transmitted via authenticated SMTP to authorized InnovaTech Partners recruiting inboxes. We do not use external hosted form relay services for core applicant intake.
4. Purposes of Processing
- Evaluate qualifications for current and future opportunities.
- Coordinate screening, interviews, and recruiting follow-up.
- Maintain candidate pipelines and staffing planning records.
- Support compliance, legal defense, and operational continuity obligations.
5. Sensitive Data Guidance
Please avoid submitting unnecessary sensitive data (for example government identifiers, financial account information, or detailed medical information) unless specifically requested through an authorized channel for a lawful purpose.
6. Sharing and Access Controls
Applicant data is shared only with authorized internal stakeholders and service providers supporting recruiting operations, hosting, email delivery, and security controls, subject to confidentiality and least-privilege access practices.
7. Retention
Applicant information is retained for a reasonable period to evaluate candidacy, support future role matching, comply with legal obligations, and document recruiting decisions. Retention periods may vary based on role type, legal requirements, and operational necessity.
8. Security Measures
We apply reasonable administrative and technical safeguards to protect applicant information against unauthorized access, disclosure, or misuse. While we implement prudent controls, no system can guarantee absolute security.
9. Applicant Rights
Subject to applicable law, applicants may request access, correction, deletion, or additional information regarding their submitted data. Identity verification may be required before processing requests.
10. International Processing
If authorized recruiting infrastructure or providers process data across jurisdictions, we apply appropriate safeguards consistent with applicable privacy requirements.
